Club Terms
Last updated 29 October 2026
Pilot draft. This is the version for Versen's pilot clubs while it's reviewed. Words in [square brackets] are still to be filled in, and we'll tell you before a final version takes effect.
1. Who agrees
These terms are between Versen ([legal entity name, ABN]) and the club. The person who creates the club on Versen, or asks for it, accepts them for the club and confirms they're authorised to.
- Owners act for the club on Versen: they manage its plan, online payments and committee roles, and can remove members.
- Everyone the club appoints (owners, admins, treasurers and selectors) must also follow the Terms of Use, and the club is responsible for what they do in Versen.
Disputes over who runs the club. We can't settle disagreements inside a club, such as a committee split. Owners can hand over ownership in Versen at any time. If owners can't agree, we'll act on the club's office-holders as shown in its official records, such as its registration as an association or a minute of its committee.
2. The pilot, plans and subscription
During the pilot, Versen is free and takes no fee on payments. After launch we'll give pilot clubs at least 30 days' notice to choose a paid plan. Prices are in Australian dollars and include GST; paying yearly costs ten months' price.
| Plan | Monthly | Yearly | Includes |
|---|---|---|---|
| Team | A$9.90/month | A$99/year | 1 active team, Up to 40 places a season, 1 admin and 1 treasurer each season, 1 owner |
| Growing club | A$22.90/month | A$229/year | Up to 4 active teams, No limit on places, 4 admins and 1 treasurer each season, 1 owner |
| Established club | A$39.90/month | A$399/year | Any number of teams, No limit on places, 20 admins each season, Any number of treasurers and owners |
- Plans are charged in advance through Stripe and renew automatically until cancelled. The first month is free for a club that has never paid. Tax invoices come from Stripe.
- A bigger plan starts at once and is charged pro rata. A smaller plan starts at the end of the paid period.
- Cancelling takes effect at the end of the paid period. There are no refunds for part periods, except where the law requires them.
- After a subscription ends, the club becomes read-only for at least 90 days. Its committee can still read and export everything, and owners can still remove members.
3. Online payments and Versen's fee
The club is the seller for every payment its members and registrants make. Money goes into the club's own Stripe account, and refunds, disputes and chargebacks are between the club and the payer.
- Versen creates a new Stripe account for the club, even if it already uses Stripe. The club completes Stripe's checks inside Versen and agrees to the Stripe Services Agreement (opens in a new tab).
- Stripe's fees come out of the club's payouts, under Stripe's pricing.
- After the pilot, Versen's fee is 0.8% + 20c of each online payment, including member fees and public event registrations. It's taken from the club's payout, never added to what members pay, and isn't returned when a payment is refunded.
- Versen emails members a receipt for each online payment on the club's behalf. If the club is registered for GST and a tax invoice is needed, that's the club's responsibility.
- Versen records payments and Stripe refunds in the club's fee records. A chargeback a member wins needs a correction from the treasurer.
4. The club's records and members' information
The club decides how its records about members are used. Versen handles them for the club, on its instructions. They are the club's memberships, team places, fees, payments and bank statement lines, attendance, applications, event registrations, files and videos. Versen claims no ownership of them, and the club can export them while it uses Versen and during the read-only period after it leaves.
Versen will:
- use the club's records only to provide Versen to the club, and never sell them or use them for advertising;
- keep them secure, and limit who at Versen can see them to people who need to for support or operations;
- tell the club without undue delay about a data breach affecting its records, and work with it on any notice the Notifiable Data Breaches scheme requires;
- help with members' requests about the club's records;
- use only the service providers listed in the Privacy Policy, and tell the club before adding one.
The club will:
- collect and use members' information lawfully, with its own privacy policy if the law requires one;
- give committee roles only to people it trusts with members' details. Owners, admins and treasurers can read the club's activity log, which shows who changed what, and selectors see applications while they stand;
- keep spreadsheets it downloads from Versen safe;
- answer members' questions and requests about its records, with Versen's help where needed, and pass on a breach notice to the people affected if asked.
5. Running the club
The club makes its own decisions and is responsible for them. Versen provides the tools but doesn't take part in them.
- The club decides who it selects, by its own criteria. Publishing outcomes offers selected players their places, which lapse after 7 days.
- Owners decide on removing members, under the club's own rules. The club still holds a removed member's records and fees.
- Approving a member's fee request charges the people named. The club checks it's fair and handles paying the member back.
- Tryout and event refunds are the club's decision. Event refunds follow the cancellation terms the club shows on the event.
- The club is responsible for the files and videos it and its members link to, and keeps personal details, such as contact or medical spreadsheets, to the committee.
- The club runs its public events, including safety, any waiver, and who can come.
- Before allowing juniors at an event, the club confirms it meets its safeguarding obligations, such as Working with Children checks. Juniors' details are visible only to its event staff.
6. Ending, liability, changes and law
The club can stop using Versen at any time by cancelling its plan. We'll keep its records readable and exportable for at least 90 days afterwards; what happens after that is [to be decided].
- We may suspend a club that seriously breaks these terms or the Terms of Use, usually after telling its owners why and giving them a chance to fix it.
- Nothing here limits the club's rights under the Australian Consumer Law that can't be excluded. Otherwise, to the extent the law allows, our total liability is limited to the fees the club paid us in the 12 months before the claim, and neither side is liable for indirect loss.
- We'll give owners at least 30 days' notice of significant changes to these terms or to prices.
- These terms are governed by the laws of [state], Australia.
- Contact us with any question about them.
